Terms and Conditions

This registration agreement shall be governed by and construed in accordance with the law of the UK, and all international governance is expressly excluded. You are deemed to have accepted these terms and conditions when you proceed with the registration process. ICBIF maintains the right to remove, add or modify the Terms and Conditions as set out with or without notice.

1. Insurance

It is the responsibility of all delegates and speakers to arrange appropriate insurance cover in connection with their attendance at the conference.

ICBIF and their respective employees, agents, representatives and assigns accept no liability whatsoever for any injury, damage, loss, accident, delay or any other incident which may be caused by the negligence, defect or default of any company or person in performing these services.

Responsibility is not accepted for losses, injury, damages or expenses of any kind due to sickness, weather, strikes, hostilities, wars, terrorist acts, acts of nature, local laws or other such causes.

2. Disclaimer

The views expressed by any Conference attendee, speaker, exhibitor or sponsor are not necessarily those of ICBIF. All conference attendees, speakers, exhibitors and sponsors are solely responsible for the content of any and all individual or corporation presentations, marketing collateral, advertising and online Web content.

3. Cancellation Policy

3.1.1. Cancellation by the Delegate
If a delegate can no longer attend a conference, the delegate may cancel their registration but ICBIF 2022 will not refund the registration fee if the delegate cancels or fails to attend.

3.1.2. Cancellation of Travel and Accommodation Reservations

Delegates are responsible for cancelling their travel and accommodation reservations.

3.2. Event Postponement
ICBIF is not responsible for any loss or damage as a result of substitution, alteration, postponement, or cancellation of the event due to causes beyond its control including without limitation, acts of God or public enemies, civil war, insurrection or riot, fire, flood, explosion, earthquake, sabotage, accident, change of law, strike, labour trouble or work interruption, terrorism, or any cause beyond its reasonable control.

Should a conference be postponed due to unforeseen circumstances, such as weather, strikes, hostilities, wars, terrorist acts, acts of nature or other such causes, ICBIF will transfer the delegate's registration fee to the new date of the conference.

3.3.1 Tour Cancellation Policy
A minimum of 15 participants is required to operate tours. ICBIF reserves the right to cancel the tour if minimum numbers are not met. In the event that the tour is cancelled for this reason, the tour registration fee will be refunded in full.

3.3.2 Tour Cancellation by Delegate
If a delegate can no longer attend a tour or Conference Dinner, the delegate may cancel their registration and receive a full refund, less a 10 USD administration fee, up to the cancellation deadline shown on the conference website. After the cancellation deadline ICBIF will not refund the registration fee if the delegate cancels or fails to attend.

4. Visas & Travel

4.1. Travel Arrangements
Delegates are required to secure their own travel and accommodation arrangements.

4.2. Visas
It is the delegate's responsibility to investigate the visa requirements for entry to the conference host country and to apply for a visa, if necessary. Delegates who require an entry visa must allow sufficient time for the application procedure.

All expenses incurred in relation to the visa application are the sole responsibility of the delegate.

Upon written request, ICBIF will assist registered participants by providing a Letter of Invitation to your email address within 7 working days. An original copy can also be requested to be sent to a designated postal address by EMS at an additional cost. The Letter of Invitation does not guarantee an entry visa to the conference host country.

5. Payment

5.1. Online Payments
All online payments are securely handled by PayPal and Stripe.

5.2. Bank Transfer Payments
For both domestic and international bank transfers, the local bank charges for the remittance are to be paid by the registrant. International bank transfers to us are subject to an additional fee to cover intermediary bank charges.

5.3. Discounts

5.3.1. Discount Eligibility
Members of our Global Partner institutions and delegates who have previously attended an ICBIF conference are eligible for a 10% discount on the registration fee. Group (10+) discounts are available on request. ICBIF Members are eligible for a 15% discount on all conference registration fees.

5.3.2. Limitation of Discounts
Only ONE discount may be applied to an individual registration. Under no circumstances may any of the discounts be combined. Discounts may only be claimed at the time of registration.

5.3.3. Students
A student is defined as a holder of a student identification card from a government accredited/recognized institution of higher learning. Students must be enrolled in a full-time course to qualify for the discounted rate. A copy of the student identification card (or equivalent) must be provided on arrival at the conference. If a copy of the card is not provided, the full registration fee will be charged.

6. Admittance

6.1. Right to Refuse Admittance
At ICBIF's sole discretion, without refund, ICBIF reserves the right to refuse admittance or to expel from the conference anyone who ICBIF determines is behaving in a manner that could be disruptive to the conference or any other attendee.

6.1.2. Age Limitation
Attendees must be 18 years of age to attend an ICBIF conference and 14 years of age to attend related events, including the Welcome Reception, tours, and Conference Dinner. Requests for any exception to this term must be made in writing to Conference Management.

7. Multi-authored Submissions

If an accepted submission is multi-authored and more than one author wishes to participate in the conference, each participant needs to register and pay the registration fee separately.

8. Limit on Presentations

An individual may propose a maximum of two papers per conference. However, in general, delegates are limited to one presentation per conference. If two papers are accepted for presentation, two separate conference registrations are required. Registration for the second paper is subject to a 50% discount.

9. Photography, Audio and Video Recording

During the course of a conference, attendees may have their voice, likeness and/or actions captured in photograph, video and/or audio recordings. By attending a conference, attendees agree to irrevocably grant ICBIF, its assigns, licensees and successors the right to video, photograph, publish, record, broadcast, exhibit, digitize, display, copyright, license, transfer, reproduce, translate, modify, edit or otherwise use perpetually throughout the world, in all media now and hereafter known or devised, in whole or in part, images, likeness, voice, name and actions in audio and video recordings, photographs and materials prepared by and/or disseminated by ICBIF.

10. Personal Information Management

All data obtained by ICBIF is held and used in compliance with Law under the auspices of the Act on the Protection of Personal Information Act No. 57 (2003).
